NEWPORT EVENT TO CROWN SERIES CHAMPION

Newport, Rhode Island is the final stop of the 2011-2012 AC World Series. Designed to expose millions more people to the sport of sailing, the new professional circuit was created to bring theAmerica’s Cup experience to top international venues. Newport and RI Welcomes this amazing event!

 

In addition to being the first American host of the high-tech AC45 wing-sailed catamarans in 2012, Newport also has the honor of seeing the first AC World Series circuit champion crowned. The highlight of each AC World Series stop is the spectacular, winner-takes-all, fleet race on final Sunday, where teams put points on the board to take the overall title, so the final race on Sunday, July 1 in Newport could be the ultimate decision maker for the AC World Series champion.

 

 


RACING TO TAKE PLACE WITH YARDS OF FORT ADAMS SHORE

Spectators will have a front row seat. In addition, a giant screen on land will follow the racing with AC TV's Emmy-Nominated television production and graphics, and, play-by-play announcements, food and drinks and exhibits. All of the volunteer positions and duties will be centered at Fort Adams State Park. 


 

JOIN THIS EXCITING EVENT - VOLUNTEER OPPORTUNITIES

When the America's Cup World Series event is in Newport the operation of the sailing village and events will require a tremendous force of need of volunteers. Volunteer jobs will need to be filled to set up the event, at the Accreditation Center, assisting the Sustainability Team, and helping with guest experiences, marketing and media operations. If you have some time, we need you with a cheerful attitude to help with this very special event.


WHAT DO I NEED TO DO TO VOLUNTEER?

We have been very fortunate to have amazing volunteers in the Narragansett Bay community. Many ask - Do I have to have experience to help? - in most cases, just your willingness to help and a commitment to time is all you need.

WHAT MAKES A GREAT VOLUNTEER?

a) Be reliable and on time - be early if possible
b) Be proactive - ask questions if you don't know the answer
c) Act professional - positive, helpful and cheerful
d) Be organized - take notes 
e) Communicate as much as possible -  leave notes for your supervisor or next shift - ask for clarification 
f)  Have a sense of humor - it helps everyone

1) BRANDING/SIGNAGE ASSISTANT

Key Tasks:

  • Assist branding professionals to set up, maintain and dismantle dressing/signage material in different areas 
  • Sometimes very busy but also some quiet times during the event

Special Requirements:

  • Mature personality, age 18+
  • Experience or flair in handcraft
  • Pro-active and enthusiastic
  • Good organizational skills
  • Able to deal with varying tasks under stressful situations
  • Reliable and flexible person
  • Physically fit and able to lift and carry fairly heavy items

2) TICKETING - Be an integral part of the ACWS. Make the first impression on our guests!

Key Tasks:
  • Welcoming ticket holders to the America's Cup
  • Scanning customer tickets for admission
  • Likely answering general questions from ticket holders
  • Some positions require handling cash
  • Some positions require basic computer skills
  • Some positions require standing (on docks, at lawn entrance)

Special Requirements:

  • Requires standing
  • Primarily an outdoor task
  • Excellent customer service mentality
  • Ability to remain calm and cheerful in busy moments

3) ACCREDITATION ASSISTANT

Key Tasks:
  • Welcoming and assisting guests at the accreditation center
  • Check personal data of the guests and print accreditation cards
  • Assist people with any requests / guide them to the right place
Special Requirements:
  • Good computer skills
  • Precise and accurate working style
  • Excellent customer service mentality 
  • Enthusiastically greet guests
  • Ability to remain calm and cheerful in very busy moments

5) SUSTAINABILITY ASSISTANT

Key Tasks:
  • Support activities related to sustainability
  • Support event operations staff as needed with sustainability-related activities
    (pollution prevention;
    hospitality; signage; water conservation; materials distribution)
  • Waste: spot checking provision of waste services to ensure a litter-free event, and report areas
    that 
    need improvement; support the public to separate waste in public areas of the venue
  • coordination and logistics support for a coastal conservation activity, panel discussion, and other 
    associated events
  • coordination and logistics support for any contracted exhibitors in venue areas
Special Requirements:
  • Education, experience or interest in environmental protection

6) GUEST EXPERIENCE ASSISTANT

Key Tasks:
  • Assist and support guest experience team in all matters
  • Managing guest experience wet weather gear
  • Assist guest experience team in different admin. tasks
Special Requirements:
  • Mature
  • Positive personality, able to keep up a good spirit during stressful times

7) GOLF BUGGY DRIVER

Key Tasks:
  • Transport VIP guests to Club 45 
  • Assist in transferring guest racers to team bases
  • Assist in ad hoc buggy requests
  • Event support for VIP hospitality
  • Assist Guest Experience team in any ad hoc tasks
Special Requirements:
  • Safe driver
  • Patient
  • Presentable

8) SECURITY CHECKPOINT ASSISTANT - Job is Filled

Key Tasks: Check Credentials at gate

Special Requirements:

  • Standing
  • Primarily outdoor task
9) MARKETING/MERCHANDISING ASSISTANT

Key Tasks:
  • Assistant Merchandise/Sponsorship Service Help with logistics, merchandise
    set-up, stock movement and storage 
  • Provide additional support for the sponsor services team

10) GUEST RACER LIAISON

Key Tasks:

  • Support Sponsor Servicing team with Guest Racer spots
  • Distribution and collection of wet weather clothing
  • Rinse, dry and store clothing
  • Escort and collect guests from boats

Special Requirements:
Comfortable on docks

12) TELEVISION RUNNER - Production Overall

Key Tasks:

  • Working with the ACTV Host Broadcaster
  • Reporting to the Production Manager
  • Transportation of crew off-site & on-site when required (i.e. to/from hotels, helicopter pads and in and around the venue)
  • Collection of materials / office supplies off-site and in and around the venue when required
  • Preparation and distribution of uniforms / mobile phones / water bottles etc to all ACTV crew
  • Distribution of information amongst crew and external parties
  • Manage lunchbox / water deliveries / coffee supplies and distribution amongst the crew
  • Tea / coffee / water runs
  • General maintenance of our crew areas
  • General office support
  • Packing and tidying up post event (late night)

Special Requirements:

  • Valid and clean US driving license
  • Prefer media students/graduates of TV Production or Media
  • Command of Word & Excel
  • A sense of humor helps
13. TELEVISION RUNNER - Features, highlights and news - Job is Filled

Key Tasks:
  • Working with the production / features highlights & news teams
  • Reporting to the Floor Manager
  • Help with organization of shoots / feature filming
  • Collection & distribution of key information to key personnel
  • Distribution of tapes to / from locations
  • Tea and Coffee runs
  • Packing and tidying up post event
  • General help for whatever is required

14. TELEVISION RUNNER - Magazine Show

Key Tasks:
  • Working with the magazine show crew
  • Reporting to the magazine producer

  • Tea and Coffee runs
  • Packing and tidying up post event

15) HELICOPTER SPOTTER - Job is Filled

Key Tasks:
  • Working with the LiveLine Crew
  • Reporting to On-board Media Manager
  • Operating the LiveLine/Graphics Helicopter Antenna during the test / Live Racing

  • Prefer Media Students / Graduates of TV Production or Media

    MEDIA OPERATIONS - OVERALL

16) MEDIA OPERATIONS FRONT DESK

Key Tasks:
  • Customer Service, Information and Logistics Tasks
  • Print and distribution of Race results sheet and other relevant information as necessary
  • General statistics for reference
  • Media Boat Bookings and Boarding (assist in managing the daily list of journalists and photographers
    wanting to go on the water to watch the racing, and helping in the boarding of media boats every morning).
  • Media Parking Bookings (in charge of distribution of daily parking passes)
  • Locker Bookings
  • Assist Journalists and Photographers in their logistics requirements (bike rental, etc)
  • Liaising with IT Department on checking the servicing of printers and other devices
  • Preparation of Daily Mixed Zone (the area where the athletes will meet the media after the racing)
  • Preparation of Press Conference Room
Special Requirements:
  • University/College student, preferably with a communication/PR/media/marketing or tourism background
  • Fluent in English. Notions of additional languages a plus (French, Italian, Spanish, German, Mandarin will be
  • the languages we will be working in)
  • Knowledge of the local venue a plus
  • Computer literate (Word, Excel, if possible keynote or Power Point, photo, internet)
17) MEDIA RELATIONS TEAM ASSISTANT - Job is Filled

Key Tasks:
  • Assisting the Media Relations Team (the team liaising with journalists) in various administrative tasks
  • related to the follow up of media coverage of the event.
  • Building of Media Lists (databases) and Media Monitoring (follow up of articles on the event)
  • Video downloading and uploading to FTP sites
  • Creation and update of Media Daily Program to be shown on screens at the Media Center
Special Requirements:
  • University/College student, preferably with a multimedia or IT background
  • Fluent in English. Additional languages a plus (French, Italian, Spanish, German, Mandarin will be the language we will be working in)
  • Computer literate (Word, Excel) and practical understanding of FTP and video files management

18) WEBSITES ASSISTANT

Key Tasks:
  • IT assistance
  • Content management of the ACWS teams websites and of the AC website
  • Assisting the IT Team in the management of the photo banks and editorial features of the ACWS teams websites
  • Uploading of photos on multiple websites.
  • Uploading texts on multiple websites
  • Operation of the America’s Cup website webcams, that will show the activity in the Newport AC Village and Team Areas
Requirements:
  • University/College or Art School student, preferably with an IT/media/multimedia background
  • Fluent in English. Additional languages a plus (French, Italian, Spanish, German, Mandarin will be the language we will be working in• Computer and multimedia skills (previous experience of CMS use a plus).
19) RACE MANAGEMENT (Shore side support)
Key Tasks:
  • Assisting the operations team in their daily tasks, from collecting a package/document and getting it to an individual urgently, to helping someone coordinate a task on site.
  • Lots of running around and solving last minute issues (under instruction)
  • The roles will vary hugely from day to day depending on what needs to be done.
Special Requirements:
  • Able to deal with varying tasks under stressful situations
  • Physically fit and able to lift and carry fairly heavy items
  • Prior race committee experience
23) NEW JOB! - MEDIA MANAGEMENT LOGGERS
Key Tasks:
  • Working with the ACTV Host Broadcaster
  • Reporting to the Production Manager & Media Manager
  • Training will be provided
  • Logging the "Live" Coverage
  • Sourcing footage for edits/hard drive compilations
  • Helping out with other tasks tasks withing the Media Management Group
Special Requirements:
  • Fluent in English (spoken & written)
  • Media students/graduates of TV Production or Media
  • Avid sailing enthusiasts and/or sailors themselves
  • Knowledge of key sailing/terminologies of the America's Cup & sailing in general
  • Good computer skills/Word and Excel
  • Quick learner
  • Reliable, polite and friendly with a flexible personality and professional attitude

20) EDUCATION AND EXPLORATION ZONE ASSISTANTS
Key Tasks:
  • Help with the guest experience at the marine science zone with URI Graduate School of Oceanography
  • Promote sailing at the Sail Newport exhibit area, hand out brochures
21)  SAIL NEWPORT YOUTH REGATTA - June 23 & 24
Key Tasks:
  • Help with shore side operations: registration, beach launch, escort to Exploration Zone, Refreshments
22) SAILING FESTIVAL - Jobs all Filled
        Key Tasks:
  • Help on dock with guest registration, life jacket fitting
  • Dock Assistant - help catch boats, assist guests to board boats (strong helpers)
  • Helmsman - Drive a J22 single-handed for guest tours of Brenton Cove and Newport Harbor (experienced sailors)

SHIFTS
You will receive an email in April outlining the shifts that are available to you. You may take one or as many as you would like and in different job areas

TRAINING
Several training sessions will be held in the week prior to the event. At that time you will receive a Volunteer Orientation Packet, a tour of the sailing village and team compounds 

PARKING
Free for all volunteers on workdays - this may be at offsite parking with a shuttle

FOOD AND DRINK: 
Available to purchase from event vendors

PREPARE:
  • For inclement weather, hot weather and wear comfy shoes!
  • Don't forget hat, sunglasses and SUNSCREEN

WAIVER:
All volunteers will be asked to sign a waiver. You will receive the waiver just prior to the event via email.

CREDENTIALS:
Will be provided to you for your working days

VOLUNTEER HELP DESK
A volunteer check-in desk will be operated at all times during the volunteer hours. You will be able to stop in, check your assignment, pick up credentials and ask questions.
